Privacy Policy

Effective October 8, 2026

Your calendar connection is optional. RapportLink™ synchronizes a dedicated work calendar. You can disconnect at any time, and your other calendars stay outside RapportLink™.

Who we are

RapportLink™, LLC, a Nevada limited liability company, operates RapportLink™ at rapportlink.com and app.rapportlink.com. This notice describes how we handle information for our website, real estate CRM, calendar connections, communications, and support.

For privacy questions or requests, email support@rapportlink.com. If a real estate professional entered your information in RapportLink™, that professional or their brokerage is responsible for their own collection and use of your records. You may contact them directly; we can help route a request when appropriate.

Information we handle

How we use information

We use information to run the features you request, maintain accounts, organize real estate records, synchronize calendars, deliver authorized communications, provide support, investigate failures and misuse, secure the service, and maintain agreement and business records. We also use relevant information to improve the service and meet applicable obligations.

Users are responsible for permission to upload documents, import contacts, connect accounts, and communicate with recipients. A calendar connection or beta agreement does not give marketing consent on behalf of any contact.

Google sign-in and optional calendar sync

Google sign-in uses the account information Google authorizes, such as your account identifier, email, and basic profile information, to authenticate and associate your RapportLink™ account. Calendar access is a separate, optional choice; your calendar email may differ from your RapportLink™ login.

Google Calendar sync creates a dedicated secondary calendar named RapportLink™. We obtain your connected Google account identifier and email, permission credentials, the work calendar identifier, and event details needed for syncing: titles, descriptions or notes, locations, dates, times, time zones, and event identifiers. We also check recurrence and attendee information to determine whether an event must be edited in Google.

The sync feature writes your RapportLink™ appointments, eligible tasks, and assigned transaction dates to that work calendar, and imports appointments from it. It does not import your main personal calendar or your other calendars. Put outside work appointments in the connected RapportLink™ calendar if you want them imported.

Ordinary appointments can be created, changed, or deleted through synchronization. Recurring appointments and invitations are handled as read-only imports. Transaction dates and linked tasks remain managed in RapportLink™; conflicting outside changes are flagged for review. Background checks occur periodically, so changes may not appear immediately.

We store imported event records and synchronization identifiers in our database. Calendar access and refresh credentials are encrypted at rest on the server. Synchronization runs on our hosting infrastructure and exchanges data with Google to carry out your requested calendar operations. The calendar sync process itself does not call an AI service.

Other optional integrations and AI

Where enabled, connected Gmail features process the permissions and message data authorized for the email workflow you select, such as sending a message and retaining its activity record. Calendar authorization alone does not grant Gmail access. Review the permission screen for each separate connection.

Where available and configured, Microsoft calendar connections use OAuth authorization; Apple/iCloud and Yahoo connections use an app-specific password. Calendar syncing is limited by the application to the connected RapportLink™ work calendar. Provider permission screens may describe broader account access than the work calendar operations we perform.

Enabled AI features may send selected document content, prompts, and relevant business records to OpenAI to generate requested summaries, extracted details, or content. Review what you submit and remove unnecessary sensitive information. Connecting a calendar does not itself request an AI analysis.

Sharing and Google data protections

Authorized workspace members receive access according to their permissions. Service providers process relevant information for hosting (Render), database services (Neon), file storage (Cloudflare), email (Brevo and connected providers), AI (OpenAI), and messaging where separately enabled (Twilio). A connected calendar provider receives the work items being synchronized. We share only information needed for the relevant function, support, or security.

We do not sell personal information or provide contact lists for another business’s independent marketing. We do not use Google user data for advertising, credit decisions, or training general-purpose AI models. Our use and transfer of information received from Google APIs adhere to the Google API Services User Data Policy, including its Limited Use requirements.

Human access to Google data is limited to your affirmative permission to view specific data, necessary security investigations, legal obligations, or permitted aggregated internal uses. Transfers of Google data are limited to consented user-facing features, security, applicable legal requirements, or a business transfer with your explicit prior consent. These protections also apply to information derived from Google data.

We may disclose other information when required by law or reasonably necessary to protect rights and security. Linked and connected services have their own privacy practices. Our processing and service providers may involve systems in the United States or other countries where they operate.

Disconnecting and your choices

You may skip calendar setup or disconnect later in Calendar → Calendar Settings → Disconnect calendar. Disconnecting stops future sync and removes the saved calendar access credentials from the active connection. It does not delete existing event copies in RapportLink™ or Google, and it retains account/calendar identifiers and synchronization mappings to support reconnecting the same account.

You can also remove Google authorization through your Google Account connections. Removing Google authorization may affect other RapportLink™ Google connections covered by that grant. Deleting the dedicated calendar in Google does not by itself close your RapportLink™ account.

Use available editing and deletion controls to manage records. For help with access, correction, export, deletion of saved records or connection metadata, account closure, or a privacy complaint, email support@rapportlink.com. We may verify your identity and authority and coordinate with the responsible workspace or brokerage. Available rights and exceptions depend on applicable law.

Retention and safeguards

We retain information as needed to provide the service and requested features, maintain records, support users, investigate issues, resolve disputes, and satisfy applicable obligations. Disconnecting does not automatically erase saved appointments, synchronization records, agreements, or backups. Records may remain temporarily in backups and may be retained when necessary for security, legal obligations, or evidence of agreements. Contact support to request deletion and an explanation of any records that must be retained.

We use account and workspace access controls, secure transport, and other safeguards appropriate to the service. Calendar credentials are encrypted before storage. No service can promise perfect security or uninterrupted access. Keep independent copies of important transaction documents and deadline records, and avoid uploading unnecessary sensitive personal information.

Cookies, browser storage, and outside services

Essential cookies keep you signed in and support security. Browser storage may remember settings and, if you choose, your login email. Disabling these features can prevent parts of RapportLink™ from working. Email open and click reporting operates separately from essential website cookies.

We do not use Google account data for cross-site advertising. When you follow a link to, authenticate with, or use content delivered by an outside provider, that provider may receive technical information and use its own cookies or identifiers, potentially associating activity across its services. Consult that provider’s policy and controls.

Adult business users

RapportLink™ is intended for business users age 18 or older and is not directed to children. Contact support if you believe a child has provided personal information through an account so we can investigate and take appropriate action.

Updates and contact

We will update the effective date when this notice changes. We will provide notice of material changes through the application, email, or another appropriate channel, and seek additional consent when required, including before using Google data for a new purpose. Your signed beta agreement remains associated with the text you accepted.
