Client & Vendor Relationships

Connect each client with the people behind their transaction.

Yes—RapportLink connects real estate clients with participating lenders, title and escrow contacts, inspectors, and other professionals inside the platform. People & Vendors keeps their roles with the relevant transaction, alongside its documents, dates, tasks, and checklist.

01

Open the client’s transaction and choose the correct participant role.

02

Link the appropriate contact and check their details.

03

Use those relationships alongside the transaction’s dates, documents, and tasks.

Start with the client and the correct transaction

A buyer or seller may have more than one transaction, and the professionals involved can change from one deal to the next. Open the relevant transaction before adding participants. This keeps a lender associated with the correct purchase and an escrow contact associated with the correct closing. The contact record describes the person; the transaction connection explains the role that person plays in this particular piece of work.

Assign lender, title, inspection, and other roles

Use People & Vendors to organize the people involved and link an existing contact where appropriate. Roles include lender or loan officer, title or escrow officer, home inspector, other inspector, cooperating agent, appraiser, HOA contact, and attorney. Additional buyers, sellers, spouses, co-buyers, and trust-related participants can also be recorded. Using the appropriate role gives you more context than a contact name alone when you return to the file later.

Reuse a professional’s contact across transactions

A loan officer may work with several buyers, and the same inspector or escrow officer may appear in many files. Select the appropriate existing contact for each transaction instead of creating a new person for every deal. The transaction keeps the context for that involvement. When looking up someone with a similar name, check the contact details before linking the record so that the relationship points to the intended person.

Keep the people beside the work they relate to

The same transaction workspace contains People & Vendors, documents, dates and tasks, checklist items, and notes and activity. If an inspection item needs follow-up, open the transaction and identify its inspector. If a closing question concerns escrow, locate the title or escrow contact assigned to that file. You can review the relevant dates and documents in context before choosing the communication or task needed next.

Know what is connected and what is shared

RapportLink connects these records inside your workspace. Assigning a lender, title contact, or inspector does not automatically give them an account, share client documents, or synchronize with their company’s external software. Sending an update and granting access are separate actions with their own setup and permissions. If your workflow depends on a particular external loan, title, or inspection system, ask about that exact integration before assuming the systems exchange data.

Example: one buyer, several professionals

An agent opens a buyer’s transaction and links the buyer, loan officer, escrow officer, and inspector. While reviewing an inspection deadline, the agent can identify the inspector on that deal and review the related checklist and documents. A later escrow question can be traced to the escrow contact on the same transaction. If the inspector also works on another client’s deal, the agent can link that existing contact there too. This example illustrates connected records within RapportLink, not automatic external status updates.

Common questions

Does RapportLink connect clients with lenders, title companies, and inspectors?

Yes. People & Vendors links participating contacts and their roles to the relevant transaction inside RapportLink. The transaction also contains documents, dates, tasks, checklists, and notes.

Is RapportLink a real estate CRM with vendor relationships?

Yes. Contact and relationship management are part of RapportLink’s real estate CRM, alongside marketing, transaction coordination, and brokerage management.

Is linking a lender the same as syncing with loan origination software?

No. A contact or transaction relationship does not itself establish an integration with a lender’s external software or receive automatic loan milestone updates. Confirm any specific integration separately.

Can the same inspector or title contact be on multiple transactions?

Yes. You can select an existing contact for each relevant transaction while keeping that person’s role associated with the individual deal.

Does adding a vendor give them access to client documents?

No. A participant assignment is not itself a login, access permission, or document-sharing action.

Where do I find the transaction’s people and vendors?

Open the transaction and use People & Vendors. The surrounding workspace provides its documents, dates and tasks, checklist, and notes and activity.
